Checking In a New Vehicle

Step 1: Scan the VIN Barcode

When a new vehicle arrives, check-in starts with one scan:

  1. Turn on your scanner. Choose Check-In mode from the menu.
  2. Find the VIN barcode. On most new cars, it is on a label inside the driver's door jamb or the lower corner of the windshield.
  3. Point the scanner at the barcode and press the trigger. You will hear a beep when the scan works.
  4. The scanner sends the VIN to ScanIt Vehicles right away. The system reads it and pulls up all vehicle info.

Tip: If the barcode is damaged, you can type the 17-digit VIN on the scanner keypad. The system handles typed entries the same way as scans.

Step 2: Automatic DMS Posting

After the VIN scan, ScanIt Vehicles talks to your DMS on its own:

  1. The system checks the VIN against your DMS records to see if the vehicle is already there.
  2. If the vehicle is new, it posts to your DMS with all decoded details: year, make, model, trim, colors, engine, and factory options.
  3. A stock number is set based on your store's numbering rules.
  4. The vehicle shows up in your DMS right away — no typing needed.

Result: What used to take 10-15 minutes of manual DMS entry now takes seconds. Typing errors are gone.

Step 3: Capture Vehicle Photos

If your scanner or phone has a camera, you can take photos during check-in:

  1. After the VIN scan, the system asks you to take photos.
  2. Take standard shots: front, rear, both sides, and interior.
  3. Photos are linked to the vehicle record and uploaded on their own.
  4. You can skip photos and add them later if needed.

Step 4: Assign a Bin Location

Bin locations help track where vehicles are parked:

  1. After the data is saved, the system asks for a bin location.
  2. Scan a bin barcode (if your lot has markers) or pick a zone from the dropdown.
  3. The bin location is saved with the vehicle and shown on the lot map.
  4. When someone looks up this vehicle later, the bin tells them right where it is.

Step 5: Print Addendum Stickers

With the vehicle checked in, you can print stickers right away:

  1. The system asks if you want to print a sticker.
  2. Pick the template your store uses (stock sticker, window addendum, or both).
  3. The sticker prints on your label printer right at the vehicle.
  4. Apply the sticker to the window or other chosen spot.

The full check-in — from VIN scan to sticker on the window — takes just a few minutes per vehicle.
